How to set the start date, end date, and weight in the ESS system?

Are you eager to boost your performance by planning and tracking your tasks—but unsure how to set and manage start and end dates in the ESS Utumishi portal? You’re not alone. Visit PEPMIS Module

First, visit for Ess Utumishi portal and login PEPMIS module.

Step1. Go to Annual Institutional Performance Planning

Go to the Annual Institutional Performance Planning in the PEPMIS, then go to the Workstation Performance Plan.

Step2. Set Sub Task Weight, Performance Indicator and Time Frame

Clicking on this will display the task management screen. Here you can manage tasks and subtasks. 

Now, Click on the 3 dot action button and a task managing pop up will appear on the screen:

  • Set Time Frame
  • Set performance Indicators
  • Approve Subtask 
  • Rollback Subtask

Step 3. Click on the Set Time Frame

Then Click on the “Set Time Frame”, a new popup will appear in ESS Utumishi Dashboard. Here you can manage: 

  • Priority of the tasks
  • Start date of the tasks
  • End date of the tasks

Set Priority of subtasks

Here you can set the priority of the sub-tasks using four levels:

Low Priority

  • Select low priority when the task is not important right now.
  • Can be done later; no immediate impact if delayed.

Medium Priority

  • The task is somewhat important, but not urgent.
  • Should be done soon, but doesn’t need to interrupt more urgent tasks.

High Priority

  • The task is important and should be completed as soon as possible.
  • Needs quick attention; delay can cause problems.

Critical Priority

  • The task is extremely urgent and must be done immediately.
  • Top priority — everything else is paused until this is resolved.

Step 4. Set the Start and End Date

Below, you can manage the start and end date of your subtask.
Setting accurate dates ensures better tracking and alignment with your performance goals.

After setting dates and priority click on the Save option to data to the portal. 

How to Set the Weight?

Setting a weight means assigning a numerical value to a sub-task or task to represent its importance, impact, or effort level. To set it, click on the next action button of the Sub tasks. A pop up will appear showing three options. 

  • Set Weight
  • Rollback Task
  • Approve Task

Click on Set Weight

Then click on set weight and you will be directed to a new window to set the weight’ values. A higher number means more impact and important tasks. Set weight according to the importance of the task. But some of the weight of tasks must be 100. 

After setting this, click on the Save button to apply the changes.
